RTE Gujarat Documents List 2026: Complete Checklist

Getting your documents right is the most critical step in the RTE Gujarat 2026-27 admission process. In 2025-26, 13,761 applications were rejected and 49,470 were cancelled — the majority due to preventable document errors. In Ahmedabad district alone, 40% of rejections were due to income certificate issues and 35% due to name mismatches across documents.

This guide gives you the complete, up-to-date documents checklist for RTE Gujarat 2026-27, verified from rte.orpgujarat.com and confirmed by the official April 3, 2026 notice. The application window is open from April 4–17, 2026. Have all documents ready before you begin the form — uploads must be completed at the time of submission.

⚠️ New Requirement — April 3, 2026 Notice

Parents with a PAN card or who file Income Tax Returns must now also submit an ITR document or a self-declaration of non-taxable income as part of the 2026-27 application. This is a new requirement not present in previous years.

Complete Document Details — All 11 Documents

1. Child’s Passport-Sized Photograph

A recent colour photograph with a clear face and plain background (preferably white). Size: 3.5 × 4.5 cm. Scan at 200–300 DPI and save as JPG under 500 KB. The photo must clearly show the child’s face without glasses, filters, or hats.

2. Child’s Aadhaar Card

The child’s 12-digit Aadhaar number is mandatory for identity verification on the portal. If the child does not have one, enroll at the nearest Aadhaar enrollment centre before applying.

⚠️ Critical: The name on the child’s Aadhaar card must exactly match the birth certificate — including spacing, spelling, and initials. Even “Rahul” vs “Rahulkumar” causes rejection.

3. Parent / Guardian’s Aadhaar Card

Either the father’s or mother’s Aadhaar card is required. The parent’s name must match across all submitted documents. If there is a spelling difference between documents (e.g., “Rajesh” on Aadhaar vs “Rajeshkumar” on the birth certificate), get a correction affidavit prepared from a notary before applying.

4. Birth Certificate

This is the primary document for age verification. The following sources are accepted:

  • Gram Panchayat
  • Nagarpalika (Municipality)
  • Hospital (where the child was born)
  • Anganwadi centre record
  • Notarized affidavit (only if no official certificate exists)

⚠️ Age Rule: Child must be 5 years 6 months to 6 years as of June 1, 2026. Eligible birth dates: June 2, 2020 – December 1, 2020. Even one day outside this range = automatic rejection. In 2025, 2,347 applications (6%) were rejected for age errors alone.

5. Income Certificate — #1 Cause of Rejection (40% of all rejections)

The income certificate has the strictest requirements of all documents. All four conditions below must be met:

✅ Must be issued by

Mamlatdar or Taluka Development Officer (TDO) only

✅ Must be fresh

Less than 6 months old. Certificates issued before October 2025 are now invalid

✅ Income within limit

Declared income must not exceed ₹6,00,000/year (revised limit for 2026-27)

❌ NOT accepted from

Sarpanch, company HR, chartered accountant, or self-declarations without proper attestation

💡 Tip: If you applied for the income certificate recently, processing at Mamlatdar offices takes 7–15 working days. Don’t wait until the last day. Apply immediately if you haven’t already.

6. Proof of Residence

Any one of the following is accepted:

  • Aadhaar card (if current address is printed)
  • Electricity bill (in parent’s name)
  • Water bill
  • Ration card
  • Registered rent agreement (as per Gujarat Stamp Act, 1958)

7. Caste Certificate (SC / ST / SEBC Applicants Only)

Required only for applicants claiming SC, ST, or SEBC reservation. Must be issued by the Mamlatdar or Social Welfare Officer. SC/ST certificates must not be more than 3 years old. SEBC/OBC certificates require a Non-Creamy Layer (NCL) certificate with 1-year validity.

8. BPL Certificate (BPL Families Only)

For families with Below Poverty Line status (score 0–20 points). Must be issued by the Taluka Development Officer (TDO) or authorized officers in rural/urban areas. BPL families get higher priority in the lottery than general EWS applicants.

9. Disability Certificate (Divyang Children Only)

For children with special needs. Requirements: minimum 40% disability, must be issued by a government medical board or Civil Surgeon. A UDID (Unique Disability ID) card is accepted and recommended as it is a nationally recognised document. Children with disabilities receive top priority in the lottery.

10. Parent’s Bank Passbook

Submit the front page showing the account number, IFSC code, and account holder name. This account will receive the ₹3,000 annual Direct Benefit Transfer (DBT) for books, uniforms, transport, and supplies after admission is confirmed.

11. ITR or Self-Declaration Form 🆕 New Requirement for 2026-27

As per the official notice issued on April 3, 2026, parents who have a PAN card or file Income Tax Returns must now submit one of the following:

  • Income Tax Return (ITR): Submit your latest ITR document showing annual income within ₹6 lakh
  • Self-Declaration of Non-Taxable Income: If you have a PAN card but do not file ITR (because your income is below the taxable limit), submit a self-declaration stating this

💡 Note: This is a new requirement specific to 2026-27. If you do not have a PAN card and do not file income tax, this document is not required. The self-declaration is filled as part of the online application on rte.orpgujarat.com.

Top Mistakes That Cause Rejection

Based on verified 2025-26 Ahmedabad district data — 13,761 total rejections:

40% of rejections

Wrong Income Certificate Authority

Only Mamlatdar/TDO-issued certificates are valid. Sarpanch, company HR, CA, or non-attested self-declarations are all instantly rejected. No exceptions.

35% of rejections

Name Mismatch Across Documents

Even minor spacing differences — “Raj Kumar” vs “Rajkumar” — trigger flags. Prepare correction affidavits before applying if any names differ across documents.

6% of rejections

Age Miscalculation

Child born before June 2, 2020 or after December 1, 2020. Use the portal’s built-in age calculator at rte.orpgujarat.com before applying.

Common

Expired Income Certificate

Certificates issued before October 2025 are now more than 6 months old and automatically rejected. Get a fresh one from the Mamlatdar office immediately.

Common

Blurry / Cropped Scans or File Over 500KB

Partially visible, shadowed, or out-of-focus documents fail verification. Use a flatbed scanner or a document scanning app in bright, even lighting. Compress files without blurring the text.

Name Matching Checklist — Do This Before Applying

Before uploading any document, verify that the following names match exactly — same spelling, same spacing — across all documents:

Child’s Name — check across:

Birth certificate ↔ Aadhaar ↔ Application form

Parent’s Name — check across:

Parent Aadhaar ↔ Income certificate ↔ Birth certificate ↔ Application form

If any name doesn’t match: Get a correction affidavit prepared from a local notary immediately. The affidavit should state both the incorrect and correct spelling and confirm they refer to the same person. Most notaries can prepare this in 1–2 hours for a small fee.

Frequently Asked Questions

What is the most important document for RTE Gujarat 2026-27?
The income certificate is the most critical document — it causes 40% of all rejections. It must be issued by the Mamlatdar or TDO only, must be less than 6 months old (not before October 2025), and must show income below ₹6 lakh per year. No other authority’s certificate is accepted.
What is the new ITR or self-declaration requirement in 2026-27?
As per the official notice dated April 3, 2026, parents who hold a PAN card or file Income Tax Returns must now submit either their ITR document or a self-declaration of non-taxable income. This is a new requirement added this year. Parents without a PAN card or who do not file ITR are not required to submit this document. The self-declaration can be filled during the online application process at rte.orpgujarat.com.
My child does not have an Aadhaar card. Can I still apply?
The child’s Aadhaar card is mandatory for RTE Gujarat 2026-27 application. If your child does not have one, enroll immediately at the nearest Aadhaar enrollment centre. Processing takes 10–15 days. Given the April 17 deadline, act today without delay.
The name on my child’s Aadhaar is different from the birth certificate. What do I do?
Get a correction affidavit from a local notary immediately. The affidavit should state both the incorrect and correct spelling and confirm they refer to the same person. This is the most common issue — it caused 35% of all rejections in 2025. Most notaries can prepare this document in 1–2 hours for a small fee.
What file format and size is accepted for document uploads?
Accepted formats: JPG, PNG, PDF. Maximum file size: 500KB per document. Scan resolution: 200–300 DPI. All text must be fully legible. If files exceed 500KB, compress them using free tools like ilovepdf.com while keeping all text readable. Blurry documents are treated as missing documents during verification.
What happens if officials raise a query about my documents?
Your application status changes to “Query Raised” and you receive an SMS alert. You have a 48-hour window to upload corrected documents at rte.orpgujarat.com. This is your only chance to fix the issue — missing the 48-hour window permanently archives your application as “Not Eligible.” Check your application status daily after April 17 at rte.orpgujarat.com/ApplicationFormStatus.
